The enrolment essentials checklist
A practical starting point for childcare operators. Use it to find where interested families lose momentum between discovering your program and arranging a visit.
1. Make the basics easy to find
- Confirm your business name, address, phone, website and hours are consistent across your website and public listings.
- Explain your age groups, programs, location and inquiry process in plain language.
- Use a clear next step: ask about availability, request information or book a tour.
- Check your website on a phone. Can a parent find the contact button without zooming?
2. Make inquiries easy to answer
- Assign an owner for phone, email and website inquiries.
- Decide a realistic response target and explain what happens next.
- Ask only for the information needed for an initial inquiry. Keep sensitive child and family details out of ordinary marketing forms.
- Record whether the family needs a tour, a waitlist update or more information.
3. Make the tour useful
- Confirm the date, location, contact person and any preparation the family needs.
- Prepare clear answers about routines, communication, fees and your enrolment process.
- Ask what matters to the family and agree on the next step.
4. Follow up with purpose
- Send the information the family requested.
- Keep marketing permission separate from responding to an inquiry.
- Review inquiries, tours and enrolments each month. Look for the stage where progress stops.
- Change one part of the process and compare the next month’s results.
